To add tokens to the Template Content section of a Message Template, click the Patron Tokens drop-down menu, and select the token to add:
The Address token inserts a part of a patron’s defined address. To construct a full mailing address, a user will need to use the Address token multiple times to add each part of the patron’s address.
1. Select Address from the Token drop-down menu.
2. Select an Address Type from the Address drop-down menu.
3. Select a part of the address from the Address Field drop-down menu. The following Address Fields are available:
• Name
• Line 1
• Line 2
• City
• State/Province
• Country
• Postal/Zip Code
• Phone Number
• Phone Extension
The Application token inserts information about a selected application.
1. Select an application from the Application drop-down menu.
2. Select a part of the address from the Application Field drop-down menu. The following Application Fields are available:
• Application Name
• Submit Date – Select a date format.
• Accepted Date – Select a date format.
• Canceled Date – Select a date format.
• Canceled Reason
The Assignment token inserts information about a patron’s assignment on a defined date.
1. Select Assignment from the Token drop-down menu.
2. Select a date from the Assignment Date drop-down menu. By default, the current date will be displayed.
Alternatively, to use the date the Communication message is sent, check Use Run Date.
The Attribute token inserts information about a patron’s attribute on a defined date.
1. Select Attribute from the Token drop-down menu.
2. Select the Attribute from the Attribute drop-down menu.
For a Date Attribute, select a date format.
3. Select a date from the Attribute Date drop-down menu. By default, the current date will be displayed.
Alternatively, to use the date the Communication message is sent, check Use Run Date.
The Birth Date token inserts the patron’s birth date. Select a date format.
The Cell Phone token inserts the patron’s cell phone number.
The Current Date token inserts the current date. Select a date format.
The Email token inserts the patron’s email address.
The First Name token inserts the patron’s first name.
The Gender token inserts the patron’s gender.
The Last Name token inserts the patron’s last name.
The Patron ID token inserts the patron’s ID number.
The Preferred First Name token inserts the patron’s preferred first name.
The Roommate token inserts information about a patron’s assigned roommate.
1. Select Roommate from the Token drop-down menu.
2. Select a Term from the Term drop-down menu.
3. Select or enter a date from the Roommate Date drop-down menu. Roommate information is based on the roommate assigned on this date. By default, the Start Date of the selected Term (step 2) will be used.
Alternatively, to use the date the Communication message is sent, check Use Run Date.
4. Check any of the following Roommate Options to include roommate info in the message template:
• Roommate Name
• Roommate Address
• Roommate Email
• Roommate Phone
The Suitemate token inserts information about a patron’s assigned suitemate(s).
Note: The Suitemate token will also include a patron’s Roommate, if available, as a Suitemate.
1. Select Suitemate from the Token drop-down menu.
2. Select a Term from the Term drop-down menu.
3. Select or enter a date from the Suitemate Date drop-down menu. Suitemate information is based on the suitemate(s) assigned on this date. By default, the Start Date of the selected Term (step 2) will be used.
Alternatively, to use the date the Communication message is sent, check Use Run Date.
4. Check any of the following Suitemate Options to include suitemate info in the message template:
• Suitemate Name
• Suitemate Address
• Suitemate Email
• Suitemate Phone
The Attribute token inserts information about a term.
1. Select Term from the Token drop-down menu.
2. Select a Term from the Term drop-down menu.
3. Select a Term detail from the Term Field drop-down menu. The following Term Fields are available:
• Start Date – Select a date format.
• End Date – Select a date format.
• Name
The Waiting List Offer token inserts information about a waiting list. Using the Waiting List Field options allows an Admin to send a waiting list offer message to a patron.
1. Select Waiting List Offer from the Token drop-down menu.
2. Select the Waiting List related to the offer from the Waiting List drop-down menu.
3. Select a Waiting List detail from the Waiting List Field drop-down menu. The following Waiting List Fields are available:
• Offer Assignment
• Non-Assignment Offer
• Offer Expiration Date/Time
