When a facility is deleted using any date after its creation date, a record of the facility will still be available for the dates it existed in ResCenter. Keeping a record of a facility allows users to retain the facility’s history for reports and statistics. However, to completely delete a facility, enter any date prior to when the facility existed. Once a facility is deleted, there is no way to reinstate it.
When a user deletes a facility that has other facilities beneath it, those facilities will be promoted up a level and placed at the top of that section of the tree.
If a facility is temporarily out of service, do not delete it. Instead, mark the facility as out of service via the In-Service attribute.
Obsolete contracts are deleted with facility deletion. When an archived patron has a Canceled or Expired assignment to a facility and you attempt to delete the facility, the system deletes the facility along with the Canceled and Expired assignments.
Use the following procedure to delete a facility from the Facilities page:
1. From the Facilities section of the Facilities menu, select Manage Facilities.
2. From the Facility Tree, click on a facility to select the facility to view. If necessary, expand the tree by clicking on the expand icon for the desired parent facility.
3. Click Delete Facility. A pop-up window will be displayed. Select the date in which the facility will be deleted. The calendar will default to the current date.
Note: A user may not delete a facility if, at any time on or after the deletion date, the facility is referenced by or linked to contract items, assignments, inventory, patron preferences, Automatic Assignment batches, or judicial incidents. A user cannot delete a facility with linked room or space assignments in an Active state. Additionally, a user cannot delete a facility it is linked to at least one contract in any state for an active patron (not archived) or at least one contract in a Completed or Terminated state for an archived patron (an archived patron cannot have Preliminary, Active, or Suspended contracts).
