Use the Proxy Setup page (accessed via Setup > Patron > Proxy Setup) to define the proxy setup settings.
Available Activity for Proxy
The following types of patron transactions are available to be performed by a proxy:
• Check-In: Select this check box to allow a proxy to perform a check-in for a designated patron.
• Check-Out: Select this check box to allow a proxy to perform a check-out for a designated patron.
• Contract: Select this check box to allow a proxy to complete a contract for a designated patron.
• Select Room: Select this check box to allow a proxy to select a room for a designated patron.
• Application: Select this check box to allow a proxy to submit an application for a designated patron.
• Application Cancel: Select this check box to allow a proxy to cancel an application for a designated patron.
• Preferences: Select this check box to allow a proxy to select preferences for a designated patron.
Proxy
The following Proxy settings are available for configuration:
• Proxy matching attribute: If necessary, select a patron attribute that defines what attribute criteria must match for a patron and a requested proxy. For example, undergraduate patrons can be restricted to select only proxies that are also undergraduates. For no attribute restriction, use the blank menu option.
• Patron can choose Housing Office as Proxy: Select this check box to allow patrons to request an institution’s housing office as a proxy.
• Contract: The contract language to which a person agreeing to be a proxy must agree appears in this text box. Default language is provided but can be changed.
• Send proxy notification email: Select this check box to send notification emails for all proxy actions (Request, Accept, Decline, and Revoke) as defined in the Request, Accept, Decline, and Revocation sections. Request and Revoke emails are sent to the proxy designee. Accept and Decline emails are sent to the proxy requestor.
• Email from address: Enter the email address from which all proxy-related email will be sent.
• Email format: Select an email format from the drop-down list (HTML or TEXT).
Request / Accept / Decline / Revoke
For each type of action (Request, Accept, Decline, Revoke), staff members can enter the email subject and message of the emails generated. Default language is provided but can be changed.
• Email subject: Enter the email subject.
• Email message: Enter the email message.
The following tokens can be used to automatically insert the appropriate name or term into an email:
• [Patron]: The name of the patron requesting or revoking a proxy.
• [PatronProxy]: The name of the proxy being requested or revoked.
• [TermName]: The name of the associated term for which the proxy is being requested, accepted, declined, or revoked.
The following default text is provided for the different types of action but can be changed:
Request
• Email subject: Proxy request from [Patron]
• Email message: [Patron] has requested that you have proxy privileges on their behalf. To accept or decline the proxy request, access your housing account and accept or decline the proxy request.
Accept
• Email subject: [PatronProxy] has accepted your proxy request.
• Email message: [PatronProxy] has accepted your proxy request.
Decline
• Email subject: [PatronProxy] has declined your proxy request.
• Email message: Please access your housing account to select a new proxy.
Revoke
• Email subject: You are no longer the proxy for [Patron]
• Email message: Your proxy access for [Patron] has been removed by the patron or a staff member.
Undergraduate Housing Office Proxy
The following Undergraduate Housing Office Proxy email settings are available for configuration:
• Name: Office of Residence Life
• Email Address: [no default email address] Enter the email address of the Undergraduate Housing Office. Separate multiple email addresses with a semi-colon. Entered email addresses will receive proxy Requests and Revokes.
• Email subject: [OfficeName] has accepted your proxy request
• Email message: [OfficeName] has accepted your proxy request
Graduate Housing Office Proxy
The following Graduate Housing Office Proxy email settings are available for configuration:
• Name: Graduate Office of Resident life
• Email Address: [no default email address] Enter the email address of the Graduate Housing Office. Separate multiple email addresses with a semi-colon. Entered email addresses will receive proxy Requests and Revokes.
• Email subject: [OfficeName] has accepted your proxy request
• Email message: [OfficeName] has accepted your proxy request
