View Linked Charge Schedules for a Contract

Use the following procedure to view any linked Charge Schedules for a contract:

1.  From the Patron menu, select Search for Patron and perform a search for a patron.

2.  From the Patron List grid, click a row to select a patron.

3.  Select the Contracts tab. The List of Patron Contracts grid displays all contracts associated with the patron.

4.  From the List of Patron Contracts grid, click the Billing Items menu next to the desired contract, and select View Linked Charge Schedules.

Linked Charge Schedules Grid Overview

The following table lists information about the columns and options that appear in the Linked Charge Schedules grid accessible via the List of Patron Contracts under the Contracts tab on the Patron page.

Column

Description

Charge Schedule Name

Name of the charge schedule.

Start Date

The date when the charge schedule begins.

End Date

The date when the charge schedule ends.

Active

A check mark indicates the charge schedule is active and thus charges can be generated when processing the contract.

Full Charge Estimate

The estimate of all the charges to be made over the course of the Start Date and End Dates billing range.

Remaining Charges Estimate

The amount of charges to be charged for the remaining of the billing dates. This amount changes over time as contract items are processed.

Estimation Reason

Indicates reason and calculation of the charge schedule’s estimated costs.

Is Overridden?

A check mark indicates the charge schedule has been overridden and saved for this contract item. Refer to the View Details For or Override a Linked Charge Schedule section (below) for more information.

Add New Charge Schedule

Click Add to add a new charge schedule.

Edit

Click Edit to edit a charge schedule.

Delete

Click Delete to delete a charge schedule.

View Charge Schedule

Click View Charge Schedule to view details for or override a charge schedule.

Add a Linked Charge Schedule

Use the following procedure to add a linked Charge Schedule to a contract:

1.  From the Patron menu, select Search for Patron and perform a search for a patron.

2.  From the Patron List grid, click a row to select a patron.

3.  Select the Contracts tab. The List of Patron Contracts grid displays all contracts associated with the patron.

4.  From the List of Patron Contracts grid, click the Billing Items menu next to the desired contract, and select View Linked Charge Schedules.

5.  In the Linked Charge Schedules grid, click Add New Charge Schedule. The Link New Charge Schedule section is displayed.

6.  Select a charge schedule from the Charge Schedule drop-down menu.

7.  Enter or select a date range for the charge schedule in the Valid Date Range fields.

8.  To allow charges to be generated, click the Active check box.

9.  To view an estimate of the charge schedule’s calculation, click the Calculate Estimation button. The Estimate and Reason will be displayed.

10. Click Save.

Edit a Linked Charge Schedule

Use the following procedure to edit a contract’s linked Charge Schedule:

1.  From the Patron menu, select Search for Patron and perform a search for a patron.

2.  From the Patron List grid, click a row to select a patron.

3.  Select the Contracts tab. The List of Patron Contracts grid displays all contracts associated with the patron.

4.  From the List of Patron Contracts grid, click the Billing Items menu next to the desired contract, and select View Linked Charge Schedules.

5.  In the Linked Charge Schedules grid, click Edit next to a linked charge schedule.

6.  If necessary, select a different charge schedule from the Charge Schedule drop-down menu.

7.  Edit or select a date range for the charge schedule in the Valid Date Range fields.

8.  To allow charges to be generated, click the Active check box.

9.  To view an estimate of the charge schedule’s calculation, click the Calculate Estimation button. The Estimate and Reason will be displayed.

10. Click Save.

Delete a Linked Charge Schedule

Use the following procedure to delete a contract’s linked Charge Schedule:

1.  From the Patron menu, select Search for Patron and perform a search for a patron.

2.  From the Patron List grid, click a row to select a patron.

3.  Select the Contracts tab. The List of Patron Contracts grid displays all contracts associated with the patron.

4.  From the List of Patron Contracts grid, click the Billing Items menu next to the desired contract, and select View Linked Charge Schedules.

5.  In the Linked Charge Schedules grid, click Delete next to a linked charge schedule. A confirmation message will be displayed.

6.  Click OK. The charge schedule will be unlinked from the contract.

View Details For or Override a Linked Charge Schedule

Use the following procedure to view details for a linked Charge Schedule or override the settings for the Charge Schedule:

1.  From the Patron menu, select Search for Patron and perform a search for a patron.

2.  From the Patron List grid, click a row to select a patron.

3.  Select the Contracts tab. The List of Patron Contracts grid displays all contracts associated with the patron.

4.  From the List of Patron Contracts grid, click the Billing Items menu next to the desired contract, and select View Linked Charge Schedules.

5.  In the Linked Charge Schedules grid, click View Charge Schedule. The Charge Schedule’s details will be displayed.

6.  To enable editing of the Charge Schedule, click Edit.

7.  Edit any of the Charge Schedule settings, as necessary. Refer to the Add a Charge Schedule Template section for more information about each setting. When finished making changes, click Save.

8.  When a Charge Schedule linked to a contract item is edited, it is considered “Overridden”.  When viewing the Linked Charge Schedules grid, the Is Overridden? column will include a check mark for the linked Charge Schedule.
