An Inspection Form allows patrons to review the condition of inventory items in their housing assignment faciility after a check in or before a check out. Submitting an Inspection form creates a record of a patron’s condition assessment for the items, which can be compared to the previous stated condition set by Housing staff.
Inspection Form Implementation
When creating an Inspection Form, a ResCenter user can provide instructions to patrons for reviewing inventory items and recording their conditions. Available conditions are defined in the form. After creating the form, a user can define the number of days before Check In and after Check Out the form is available for patrons.
Inspection Form Access for Patrons
An Inspection Form will be available to a patron with a housing assignment contract in the same Term defined for the Form. Inspection Forms are accessed via the Rooms tab in the Housing section of the GET mobile app.
After the patron Checks In to the assigned facility, the Inspection Form will be available for completion for a defined number of days. Similarly, the Form can be made available to the patron for a set number of days before the patron’s scheduled Check Out.
An Inspection Form can have the following statuses:
• New – Displayed if the Inspection Form has not yet been started. If a New Inspection form is not accessed before it expires, it will no longer be displayed after the expiration date.
• In Progress – Displayed if the Inspection Form has been started and saved before submitting.
• Submitted – Displayed once the Inspection Form has been completed and submitted.
• Admin Completed – Displayed if a housing staff member auto-completes the inspection in ResCenter before the patron submits the Inspection Form.
• Incomplete – Displayed if the Inspection was never completed and the available date range has passed (or too many days have passed since check-in). Incomplete inspections are not editable but can still be viewed.
