An institution may create a Form as an Application for various processes, such as a housing assignment, a living-learning environment request, a roommate request, or attendance for an upcoming event. Essentially, if an institution needs to solicit useful information from a patron, it can be accomplished with an Application Form. If a deposit or fee is required, the amount can be defined within the Application Form, and the patron can pay the amount when submitting the Form via the GET mobile app.
Application Form Implementation
A form can serve as an application by displaying various patron attribute fields and allowing patrons to enter biographical information or select an attribute value for each field.
For example: If a Form was created to gather basic information from a set of Patrons, it may include attributes such as Name, Birth Date, Class, and Email Address.
An Application form can also be configured to allow patrons to rank their housing facility preferences. However, this process does not include room selection functionality.
Application Form Access for Patrons
For Application Forms, patron attribute requirements are set to enable restrictions on which patrons can access the Form. Attribute requirements are a defined set of patron attribute values that a patron record must match for the patron to have access to the Form. If attribute requirements are not set for a Form, then the Form will be saved but will not be accessible to any patrons.
Patrons can view a submitted Application Form after it has been submitted. Additionally, when a user defines the Form’s attribute requirements, there is an option to allow patrons to edit their Application Form after it has been submitted.
Refer to the Application Form example for more information about how Applications Forms are accessed and completed by patrons.
Application Form Deposit/Fee Payment
If there is a deposit or fee defined for the Application form, the patron can pay the required amount when completing the form in the CBORD GET mobile app. After completing all fields and then submitting the form, the patron will be presented with the deposit/fee amount and any pre-saved credit cards to use for the payment. The patron can also add a new card, if necessary.
Note: Credit Card payments are processed by USAePay, CBORD’s e-commerce third-party gateway provider.
The GET mobile app will display a confirmation screen once the payment is successful and the Application form is submitted. If the payment is not processed successfully, the patron will be returned to the payment screen and can attempt to submit the payment again.
If necessary, when defining the Application Form requirements, selecting Bypass Deposit/Fee Payment allows defining a subset of patrons (via Attribute Values) that are not required to pay the deposit or fee.
